About the role:
The postholder will manage and review quality standards for basic inventory data, terminology, new records, and bulk uploads in the Museum’s Collection Management System (MI+) in compliance with licences, legal requirements, and statutory obligations.
The primary focus of this role will be to establish a comprehensive framework of large-scale collection audits in order to maintain record quality, and thereby collection security and accountability in the long term. The postholder will also provide MI+ support to the Registration Project, developing training sessions, supplying advice and practical help, monitoring the overall progress of figures against the target, and analysing the quality and state of completion of the records.

Key areas of responsibility:
• Set and monitor data standards and terminology in the Collection Management System and quality assurance of inventory level records, mandatory fields, locations, and process and procedure records in collaboration with the Inventory Manager and Catalogue Manager.
• Co-ordinate and deliver a programme of data entry for backlogs and data and terminology improvement tasks working with stakeholders.
• Support the development and implementation of Collection Management System upgrades and relevant system modules and workflows, monitoring issues, safeguarding data integrity, and completing bug fixes and enhancements in the Collection Management System.
• Ensure compliance with licences, legal requirements, and statutory obligations, e.g., H&S, Human Tissue Act and Firearms Licence requirements.
• Work with stakeholders to manage and maintain an ongoing prioritised programme of collection audits and supporting ad hoc audit requests as appropriate.
• Support backlog registration and record improvement by performing batch edits and other tasks such as ensuring new records and bulk uploads are committed successfully.
• Line Manage the Inventory Coordinators.

About you:
• IT literate with proficiency in Excel and Word and in collections databases (data entry, retrieval, and terminology issues)
• Thorough understanding and knowledge of the UK collection management documentation standard (SPECTRUM)
• Experience of Collection Management System(s)
• Knowledge of museum and cultural sector
• Excellent time management
• Ability to plan and prioritise effectively.
• Experience of monitoring targets, and working to deadlines
• Excellent communication skills
• A flexible approach to work and the ability to maintain the role under pressure.
• Good attention to detail
• Articulate, persuasive, flexible communicator, with effective interpersonal skills.
• Ability to work within a variety of different teams.
