Inventory Coordinator

About the role:
Support the quality control of data standards for basic inventory records, terminology, new records, and bulk uploads in the Museum’s Collection Management System (MI+) in compliance with licences, legal requirements, and statutory obligations.

Please note we are recruiting two candidates for this position.

Key areas of responsibility:
• Support the monitoring of data standards and terminology in the Collection Management System and quality assurance of inventory level records, mandatory fields, locations, and process and procedure records in collaboration with the Inventory Manager and Catalogue Manager.
• Support the programme of data entry for backlogs and data and terminology improvement tasks working with stakeholders.
• Support the development and implementation of Collection Management System upgrades and relevant system modules and workflows, monitoring issues, safeguarding data integrity, and completing bug fixes and enhancements in the Collection Management System.
• Ensure compliance with licences, legal requirements, and statutory obligations, e.g. H&S, Human Tissue Act and Firearms Licence requirements.
• Assist in maintaining an ongoing prioritised programme of collection audits and supporting ad hoc audit requests as appropriate.

About you:
• Educated to A Level standard or with equivalent experience.
• IT literate with proficiency in Excel and Word and high levels of proficiency in collections databases (data entry, retrieval, and terminology issues)
• Understanding and knowledge of the UK collection management documentation standard (SPECTRUM)
• Experienced user of Collection Management System(s)
• Knowledge of museum and cultural sector
• Worked on documentation backlogs or cataloguing project.
• Management of small projects
• Excellent communication skills, both written and verbal
• Experience of working in a museum/gallery or related organisation (Desirable)
• Understanding of different documentation systems (Desirable)
